Manager Guide
This guide is for managers who use the OneLock Manager (Manager App) to handle smart locks, assign them to units, and share temporary access with tenants or maintenance staff. You'll use the mobile app for your daily tasks, while OneLock Web (Admin Panel) is there for higher-level oversight and reporting.
OneLock Manager (Manager App) Structure
The OneLock Manager (Manager App) is organized into key functions for efficient lock management.
Home Screen Functions
This is where you'll handle all the day-to-day essentials—creating bundles, managing locks, and checking unit details—all from the main screen of the OneLock Manager (Manager App):
| Feature | Functionalities |
|---|---|
| Create Bundle (Smart Lock) | Scan lock via NFC → Select unit from database → Add description for multiple-lock units (optional) → Create bundle → Lock assigned to unit |
| Create Bundle (Entry Point) | Scan entry point via NFC → Add type → Select function → Then assign to zone (If no zones appear, create one in the Admin Panel) |
| Get Info | Scan lock/entry point → View unit assignment, location, and lock ID, Open/close lock (permission-dependent), and ability to clear bundle |
Navigation Tabs
Here's where you'll see all the main areas of the OneLock Manager (Manager App)—so you can quickly switch between your daily jobs, unit management, and app settings:
| Feature | Functionalities |
|---|---|
| Home | Create bundles, get lock info, register entry points |
| Units | View all units, share temporary access, monitor status |
System Integration
System integration in OneLock connects your property management tools and other systems automatically. This means your unit lists stay current without manual updates, tenants get access automatically when they move in, and payment status directly controls their access permissions. The system works in the background to keep everything synchronized and up-to-date.
Activity Logging & Monitoring
System integration in KISS connects your property management tools and other systems automatically. This means your unit lists stay current without manual updates, tenants get access automatically when they move in, and payment status directly controls their access permissions. The system works in the background to keep everything synchronized and up-to-date.
Tenant Access & Payment Integration
This section gives you a quick overview of how tenants get access to their units and how payment status affects that access.
Automatic Access Provisioning
When tenants move in, the system automatically generates their keys and provides access to their units. Once they download the app and receive their login instructions via text message, they can immediately access their assigned units without any manual intervention from you.
Tenant Self-Service
Your tenants manage their own access through the OneLock Access (Tenant App). They can operate their locks, log in securely using a six-digit phone authentication code, and monitor their own activity. This self-service approach reduces support requests and gives tenants control over their access while maintaining security.
Payment-Based Access Control
OneLock automatically manages tenant access based on their payment status. Current tenants have full access to their locks and can share temporary access with others. Past-due tenants are automatically locked out of the system until payment is received. When payment is made, access is automatically restored without any manual intervention needed.
