Manager Workflows

This page covers the essential workflows and processes for managing the OneLock system through the OneLock Manager (Manager App). These workflows are specifically designed for facility managers who need to handle daily operations and tenant management.

Bundle a Lock to a Unit

Learn how to assign a lock to a unit for new tenants or swap locks between units. This video covers the complete bundling process from location verification to final confirmation.

Prepare and Scan

Verify you're in the correct location to avoid database conflicts, then tap Create BundleScan Lock and hold device near lock to capture the unique Lock ID.

Configure Assignment

Select the target unit from your database (pulled from property management software or manual uploads) and add an optional description for multiple-lock units.

Complete and Verify

Tap Create Bundle to finalize the assignment and verify successful bundling in the web portal.

Important Notes
  • Location selection is critical—a wrong location will be assigned to a different database.

  • The Lock ID is the unique serial number that distinguishes each lock.

  • Descriptions are only required when assigning multiple locks to one unit.

  • Always verify the assignment appears correctly in the web portal.

Operate a Bundled Lock

Master opening and closing locks that are already bundled to units directly from the app for maintenance, inspections, or emergency access. This video shows you how to use the Get Info function and operate locks safely.

Tap Get Info button on home screen and scan the target lock via NFC to pull up lock information.

Review and Operate

Review unit assignment, location, and Lock ID details, then use Open Lock or Close Lock buttons (permission-dependent).

Complete Operation

Hold your phone steady during the countdown timer for power transfer and listen for a mechanical sound indicating successful operation.

Manage Bundle (Optional)

Use Clear Bundle if you need to remove lock from current unit.

Important Notes
  • Open/close functions may be greyed out based on your permissions.

  • Admins have full access; other users may have restricted permissions.

  • Power transfer takes longer than information transfer—hold the phone steady.

  • The countdown timer ensures proper power transfer to the lock.

  • Clear Bundle allows you to reassign locks to different units.

Share Temporary Access

Provide short-term access to contractors, visitors, or potential tenants using the temporary access feature. This video demonstrates the complete process from unit selection to access delivery.

Select Target Unit

Navigate to Units tab and find the target unit from your database list, then tap the three dots to access options.

Enter Phone Number

Enter the recipient's phone number (include country code if needed).

Add User Details (if needed)

If the phone number isn't recognized in the system, add first and last name for logging and accountability purposes.

Configure Access

Select access duration (24, 48, 72 hours, or custom duration) and tap Submit to send temporary access.

Confirm Delivery

Recipient receives SMS with app download instructions and can access the unit using the tenant app.

Important Notes
  • The system automatically sends SMS with a download link and instructions.

  • Recipients download the tenant app and use their phone number to access.

  • Custom duration allows flexible access periods (e.g., 1 hour for unit viewing).

  • All access is logged for accountability and security - you can see exactly who opened the unit and when.

  • If the phone number isn't in the system, you must add the first and last name for logging purposes..

  • You can customize message templates in the web portal under Locations, then Communications.

Clear Bundle

If a tenant moves out or you need to reassign a lock to a different unit, you'll need to clear the current bundle first. Here's how to do it:

Locate and Verify

Use the Get Info function to scan the lock you want to remove and verify it's currently assigned to the correct unit before proceeding with clearing.

Clear and Confirm

Tap the Clear Bundle option, review the confirmation dialog, and tap Confirm to complete the bundle clearing.

Verify Removal

Check that the lock is no longer associated with the unit and can be reassigned if needed.

Get Info

Use the Get Info function to quickly check a lock's status, assignment, and location. This is also where you can operate locks if you have the proper permissions.

Tap the Get Info button on the home screen and scan the lock you want to check using NFC.

View the lock's current assignment, location, and Lock ID details, then use Open Lock or Close Lock buttons to control the lock if you have permissions.

Bundle Entry Point

Entry point bundling configures access to shared facility areas. Set up entry points for shared or common areas.

Verify the entry point is properly configured and accessible to authorized users, then save.
